If It Moved, It's Written Down.

Your quantity on hand is never typed over. It's the running sum of each delivery, sale, spill, return and count, each with a name and a reason beside it. When the shelf and the screen disagree, there's somewhere to look.

Receiving

A Lorry at the Gate Isn't Stock Yet

Ordered goods become sellable when someone receives them. Scan what came, note what's short or damaged, and the rest of the order stays open. Damaged goods go to quarantine, and only what you accept reaches the shelf.

  • Suppliers, price history and lead times
  • Requests, approvals and purchase orders
  • Part deliveries and supplier returns
  • Scan by carton or by piece

Paying the Supplier

Ordered 100, Accepted 92, Billed for 100

The bill is checked against the order and the delivery, by quantity, price and tax, within tolerances you set. The eight cases nobody received stop at a person with authority. A supplier's change of bank details gets checked separately from any invoice.

Counting

A Count That Can't Copy the Screen

Cycle counts, a shelf at a time, or a full count at the end of the year. The counter sees what to count and never how many there should be. Sales during the count are worked in afterwards, so you don't have to shut the doors, and a difference needs someone's approval before stock changes.

Branches and Warehouses

Forty Cartons on a Van Belong to Nobody's Shelf

A transfer leaves one branch and reaches the other only when it's counted in. Whatever goes missing between them shows up as a loss with a name on it. Warehouses add bins, directed putaway, and picks from reserve to the front.

Reordering

A Suggestion, With Its Working Shown

Min and max levels, or a suggestion from what you sold and how long the supplier takes. You see how sure it is and why. Nothing goes to a supplier until a person with authority sends it.

Lots and Dates

First to Expire, First Out

Follow goods by lot, serial and best-before date from the supplier to the sale. When something has to come back, find what's on the shelf and who bought it, and keep the list of who you haven't reached.

Prices and Labels

One Price Book, Printed Onto the Shelf

Set prices by branch, channel or customer, with dates. Print the label from the same book. Later changes never rewrite an old sale, so last month's margin stays what it was.
